1. About this policy

This policy explains how Safe-R Insulation (NZ) Limited collects, uses, stores, shares and protects personal information. It is written to meet our obligations under the New Zealand Privacy Act 2020 and the 13 information privacy principles set out in section 22 of that Act.

We have written it in plain language. If anything in it is unclear, or you want more detail about something we do, email gm@saferinsulation.co.nz and we will answer you.

“Personal information” means information about an identifiable individual. That is the definition the Privacy Act uses, and it is the definition we use here.

We supply blown loose fill insulation systems to a network of independent installation companies around New Zealand.

We are the organisation that collects the information described in this policy, and we are the organisation that holds it. We are accountable for it under the Privacy Act.

Section 201 of the Privacy Act 2020 requires every organisation to appoint a privacy officer. Ours can be reached at gm@saferinsulation.co.nz or on 0800 267 992.

3. The short version

The rest of this policy gives the detail. These are the points most people want.

  • If you send us an enquiry, we pass it to the Safe-R network installer for your region so they can quote and do the work. That installer is a separate company from us. This is the main thing we do with your details, and it is why we ask for them.
  • Giving us your details is voluntary. You do not have to. If you do not, we cannot respond to you or arrange a quote.
  • We use Google Analytics, Google Tag Manager and a Meta (Facebook) advertising tag on this website.
  • We advertise online, and some of that advertising uses information about people who have visited our site or contacted us. Section 7 explains how that works and the limits we place on it.
  • We do not sell your personal information to anybody.
  • You can ask us for a copy of the information we hold about you, and you can ask us to correct it. Section 13 explains how.

4. What we collect, and why

4.1 When you send us an enquiry through this website

Our enquiry forms ask for your first name, last name, email address, phone number and the region you are in. Some forms ask for a little more, for example the name of your company where you are asking for technical documents on behalf of a business. There is also a message box where you can tell us about your project. Anything you type into that box is collected too, so please do not put information in there that you would not want passed on to an installer.

We collect it so that we can do the following things.

  • Pass your enquiry to the Safe-R network installer for your region, so they can contact you, quote the work and carry it out. See section 5.1.
  • Answer your question directly if it is about our products rather than a job.
  • Keep a record of the enquiry in our customer system so we can follow up and so we know what has already been said if you contact us again.
  • Understand which parts of the country and which products are generating enquiries, so we can run our business better.

Supply is voluntary. There is no law that requires you to give us any of this. If you choose not to, we will not be able to respond to your enquiry or put you in touch with an installer. You are welcome to phone us instead on 0800 267 992.

4.2 When you contact us directly

If you phone us, email us, or message us on social media, we collect whatever you tell us, plus the phone number or email address you contacted us from. We use it to answer you and, where relevant, to pass the enquiry to an installer in the same way as section 4.1.

4.3 When you visit this website

Our website is hosted on SiteGround’s servers in Sydney, Australia. Like almost every web server, it records technical information about each request. That includes your IP address, the date and time, the page requested, your browser type and, where your browser sends one, the page you came from. An IP address can be personal information in some circumstances, so we are telling you about it here rather than leaving it out.

The site also uses Google reCAPTCHA on its forms. This is an anti-spam service that checks whether a submission is coming from a person or from an automated script. It collects technical and behavioural information about your visit and sends it to Google. It is subject to Google’s Privacy Policy and Terms of Service.

Section 6 covers cookies, analytics and tracking in detail.

4.4 Installation, warranty and certification records

Where Safe-R insulation is installed in a property, a record of that job is kept. That record includes the property address, the work that was done, the product used, and contact details for the person who arranged the work. We keep those records so that we can honour product warranties, answer questions about an installation later, and meet our obligations under the product certification schemes our systems are certified to.

4.5 Government grants and subsidies

Some insulation work is part funded by a government grant or subsidy programme. Where that applies to a job, our records note that it applies and the reference number for it, so that the job can be processed and accounted for correctly.

We treat that information carefully. We do not use it to target advertising, and we do not use it to build advertising audiences. See section 7.3.

4.6 What we do not collect

Through this website we do not ask for your IRD number, your driver licence number, your date of birth, or any health information. We do not take payments on this website, so we do not collect credit card or bank account details through it.

5. Who we give your information to

This is the part of the policy that matters most, so it is set out in full.

5.1 The Safe-R network installer for your region

Every enquiry we receive is passed to the Safe-R network installer for the region you are in. That is one of the main purposes for which we collect your details, and it happens as a matter of course rather than as an exception.

We pass on your name, email address, phone number, region and the message you sent us.

The installer is a separate company. It is not owned by Safe-R Insulation (NZ) Limited and it is not part of our company. Once we pass your enquiry to it, it holds your details in its own systems, it contacts you directly, and it is responsible under the Privacy Act for what it does with your information from that point on. If you want to know how a particular installer handles your information, you can ask them directly, or ask us and we will point you to them.

The installer for each region is named on that region’s page on this website, and the whole network is listed at https://saferinsulation.co.nz/insulation-installers/. That page is the current source. The network changes from time to time as companies join and leave it.

If you would prefer us not to pass your enquiry to an installer, tell us in the message box or email us at gm@saferinsulation.co.nz. We will do our best to help you directly, though in most cases the quote and the work itself have to come from the installer.

5.2 Companies that provide services to us

We use outside suppliers to run parts of our business. They act on our instructions and are not permitted to use your information for their own purposes.

5.3 Other situations

We may also disclose personal information where the law allows or requires it. That includes disclosure to our professional advisers, to a party investigating a complaint, to a government agency administering a grant or subsidy programme where you have applied for one, and where disclosure is necessary to comply with a legal obligation or to prevent or lessen a serious threat to somebody’s life, health or safety.

If our business or part of it were ever sold or transferred, customer records could be transferred with it. Any buyer would be bound to handle the information in line with the Privacy Act.

5.4 We do not sell your information

We do not sell personal information, and we do not trade or rent mailing lists.

This is the position at the date of this policy. We add and remove measurement and advertising tools from time to time, and section 7 covers what we do with the information they collect whichever tools are in use. Most of these set cookies or use similar technologies in your browser. A cookie is a small file a website stores on your device so it can recognise the same browser on a later visit.

6.2 Consent

We do not currently show a cookie consent banner on this website, and New Zealand law does not require one. We are telling you this rather than describing a choice you do not actually have. The analytics and advertising tags described above load when you visit the site.

The site does carry Google’s consent mode, which automatically withholds analytics and advertising storage for visitors in the European Economic Area, the United Kingdom and Switzerland, where the law there requires it. If you are visiting from New Zealand, that automatic restriction does not apply to you.

If we introduce a consent banner in future, we will update this section.

6.3 How to turn it off

You have several options, and they work whether or not we show a banner.

  • Browser settings. Every major browser lets you block or delete cookies. Blocking third party cookies will stop most advertising tracking.
  • Google Analytics. Google publishes a browser add-on that opts you out of Google Analytics on every site at https://tools.google.com/dlpage/gaoptout.
  • Google ad settings. You can control how Google personalises ads to you at https://myadcenter.google.com.
  • Meta ad settings. You can control how Meta personalises ads to you in the settings of your Facebook or Instagram account.
  • Do Not Track and Global Privacy Control. Some browsers send these signals. We do not currently respond to them, and we are saying so rather than implying that we do.

7. Advertising

We advertise our products online. Some of that advertising uses information about people who have visited our website or who have contacted us. This section sets out what that means and the limits we place on it.

7.1 Advertising based on your visit to this site

The Google and Meta tags described in section 6 can build audiences of people who have visited particular pages on this website, so that we can show ads to those people afterwards on Google, YouTube, Facebook, Instagram and other websites and apps. This is usually called remarketing.

7.2 Advertising based on our customer records

We may share contact details from our own customer and enquiry records with advertising platforms, including Google and Meta, so that we can do three things.

  • Show ads to people who have already dealt with us.
  • Deliberately avoid showing ads to people, for example to people who have already had the work done.
  • Ask the platform to find new audiences of people with broadly similar characteristics, without the platform telling us who those people are.

Before a list like this leaves our systems, the contact details in it are converted into a scrambled code, a process called hashing. The platform receives the code rather than your email address or phone number in readable form. It compares the code against its own account holders to find matches. Under the terms we agree with those platforms, they may use the list only to run our advertising and not for their own purposes.

We never send an advertising platform the content of your enquiry, your message to us, notes made by an installer, or anything about a grant or subsidy.

7.3 Limits we place on this

These are commitments, not descriptions.

  • We do not build advertising audiences from information about government grants or subsidies, or from any other information about a person’s financial circumstances.
  • We do not build advertising audiences from anything you tell us about your health or your household’s circumstances.
  • We do not sell or licence our customer records to anybody for their own advertising.

8. Sending information overseas

Some of the organisations we use are not in New Zealand, and information about you goes to them. Information privacy principle 12 of the Privacy Act 2020 deals with this, and we take it seriously.

Our customer system and our website hosting. Our customer records are held in Zoho, which stores them on servers in the United States. Our website is hosted by SiteGround on servers in Sydney, Australia. Both of these companies hold the information for us and on our instructions. They are not permitted to use it for their own purposes. Because they hold it as our service providers rather than for themselves, we remain the organisation responsible for it under New Zealand law, and you can bring any question or complaint about it to us.

Advertising platforms. Where we share information with Google or Meta for the advertising described in section 7, that information goes to companies outside New Zealand. Both of those companies carry on business in New Zealand, which means they are subject to the New Zealand Privacy Act in relation to information they handle here. We also have contractual terms with them that restrict what they may do with information we provide.

What this means for you. New Zealand law cannot guarantee that an overseas organisation will protect your information to exactly the same standard a New Zealand organisation would. Where we send information overseas, we do it on the basis that the receiving organisation is either handling it on our behalf under our instructions, or is contractually required to protect it to a comparable standard, or is itself subject to privacy law that provides comparable safeguards. If you would like more detail about a particular transfer, email gm@saferinsulation.co.nz and we will explain it.

9. How we look after your information

We take reasonable steps to protect personal information against loss, misuse, unauthorised access, modification and disclosure, as information privacy principle 5 requires.

  • Our website runs over an encrypted connection and enquiries are transmitted over that connection.
  • Access to our customer system is limited to people who need it to do their job, and it is protected by individual accounts and passwords.
  • Our website and hosting carry security software that blocks automated attacks and logs failed login attempts.
  • Our suppliers are chosen with security in mind, and the systems we use are maintained and updated.

No system is completely secure, and we are not going to claim otherwise. If something does go wrong, section 15 sets out what we will do.

10. How long we keep your information

Information privacy principle 9 says we must not keep personal information for longer than we need it for the purposes for which it may lawfully be used.

We keep enquiry and customer records for as long as we need them for the purposes described in this policy. In practice that means we hold them while we are dealing with your enquiry, and afterwards for as long as they remain useful for supporting the work that was done, honouring a warranty, answering a later question about an installation, and meeting the record-keeping obligations that attach to product certification and to grant or subsidy programmes.

We review our records and remove information we no longer need. If you want your information removed sooner, ask us at gm@saferinsulation.co.nz and we will tell you what we can delete and what we are required to keep, and why.

11. Using your information for something else

We use personal information for the purposes we collected it for, and for purposes directly related to those, which is what information privacy principles 10 and 11 allow.

We will not use or disclose your information for an unrelated purpose unless you have authorised it, or unless one of the exceptions in the Privacy Act applies, such as where the law requires it, or where it is necessary to prevent or lessen a serious threat to somebody’s life, health or safety.

12. Unique identifiers

We do not assign you a unique identifier. Our customer system gives each record an internal reference number, which is used only inside our own systems and is not shared with you or used to identify you anywhere else.

Where you have applied for a government grant or subsidy in connection with insulation work, we may record the reference number that programme has given the application, so the job can be processed. We use that number only for that purpose. We do not ask for your IRD number or your driver licence number.

13. Seeing your information, and correcting it

Under information privacy principles 6 and 7 of the Privacy Act 2020, you have the right to ask us for confirmation of whether we hold personal information about you, to ask for a copy of it, and to ask us to correct it if it is wrong.

How to ask. Email gm@saferinsulation.co.nz, or write to Safe-R Insulation (NZ) Limited, 8b Peters Way, Silverdale, Auckland 0932. Tell us what you are looking for. We may need to check who you are before we release anything, which protects you as much as us.

How long we take. We will tell you our decision as soon as we reasonably can, and no later than 20 working days after we receive your request. That is the limit section 48 of the Privacy Act sets. If we need longer, we will tell you why within that time.

Cost. We do not usually charge. If a request is unusually large and a charge is reasonable, we will tell you before we do any work.

If we say no. There are limited grounds in the Privacy Act for withholding information, for example where releasing it would disclose personal information about somebody else. If we rely on one, we will tell you which one and why, and you can complain to the Office of the Privacy Commissioner about that decision.

If we do not agree that something is wrong. You can ask us to attach a statement of the correction you sought to our record, and we will do that.

Remember that an installer holds its own copy of your details once we have passed your enquiry on. To see or correct what an installer holds, you need to ask them. We will tell you who to contact if you are not sure.

14. Marketing emails

If we send you marketing emails, every one of them will carry a working unsubscribe link, and we will action an unsubscribe promptly. That is what the Unsolicited Electronic Messages Act 2007 requires and it is what we do.

You can also tell us at any time that you do not want marketing from us by emailing gm@saferinsulation.co.nz. Asking us to stop marketing does not stop us contacting you about an enquiry or a job that is under way.

15. If something goes wrong

If personal information we hold is lost, or is accessed or disclosed without authorisation, and it is reasonable to believe that has caused or is likely to cause serious harm, the Privacy Act 2020 requires us to notify the Office of the Privacy Commissioner and, in most cases, the people affected. We will do that as soon as we practicably can after we become aware of it, which is the standard Part 6 of the Act sets.

We will tell you what happened, what information was involved, what we are doing about it, and what you can do to protect yourself.

16. Making a complaint

If you are unhappy with how we have handled your personal information, tell us first. Email gm@saferinsulation.co.nz or phone 0800 267 992. We would rather hear about it and fix it.

If you are not satisfied with our response, you can complain to the Office of the Privacy Commissioner. It is free and independent.

17. Children

This website is aimed at homeowners, builders, architects and specifiers. It is not directed at children, and we do not knowingly collect personal information from anyone under 16. If you believe a child has given us their details, email gm@saferinsulation.co.nz and we will remove them.

18. If you are outside New Zealand

We are a New Zealand company operating in New Zealand, and this policy is written to New Zealand law. If you are contacting us from another country, your own country’s privacy law may give you rights this policy does not describe. Email us and we will deal with your request on its merits.

19. Changes to this policy

We will update this policy when what we do changes. The effective date and version number at the top tell you which version you are reading. Where a change is significant, we will say so on this page.
